Privacy Policy

NW Softwash LLC (“NW Softwash,” “we,” “us,” or “our”) provides exterior-cleaning and related property services. This Privacy Policy explains how we collect, use, disclose, and retain personal information when you visit nwsoftwash.com, request a quote, communicate with us, become a customer, or otherwise interact with us.

This Policy is a notice about our practices. It is not a request for consent to receive marketing email or text messages. When consent is required, we request it separately at the point of collection.

1. Information We Collect

The information we collect depends on how you interact with us and may include:

  • Contact and identity information: name, email address, telephone number, mailing address, service address, and similar contact details.
  • Quote and service information: requested services, property details, access instructions, preferred appointment times, estimates, appointments, job status, service history, messages, and other information you provide in a form, call, text, email, or conversation.
  • Customer and transaction information: customer and lead identifiers, invoices, payment status, transaction amount, refunds, warranties, and related business records. If you pay electronically, a payment processor may collect payment-card or bank information directly. We generally receive transaction details and payment status rather than the complete payment credential.
  • Communications and preferences: emails, text messages, call details, customer-service communications, marketing preferences, opt-in and opt-out status, and records showing when and how consent was provided or withdrawn.
  • Website, device, and usage information: IP address, approximate location derived from IP, browser and device type, operating system, pages viewed, referring page, dates and times, form interactions, and information collected through cookies, tags, pixels, local storage, and similar technologies.
  • Advertising and attribution information: landing page, referring source, UTM parameters, advertising campaign and keyword information, and advertising click identifiers such as GCLID, GBRAID, WBRAID, MSCLKID, or FBCLID.
  • Service documentation: if applicable, photographs or video of the property or work area used for estimates, condition documentation, service performance, quality control, safety, or dispute resolution. We will use identifiable customer or property images in public advertising only with permission or as otherwise permitted by law.

Please do not submit medical information, financial-account credentials, payment-card numbers, government identification numbers, or other highly sensitive information in a website form or free-text message. Our ordinary quote process does not require that information.

2. How We Collect Information

We collect information:

  • Directly from you, including through website forms, phone calls, email, text messages, quote requests, appointments, payments, and in-person interactions.
  • Automatically, when you use our website or interact with our advertising, through cookies, tags, pixels, server logs, and similar technologies.
  • From service providers and business tools, such as website and form providers, Housecall Pro, Zapier, communications providers, payment processors, analytics providers, and advertising platforms.
  • From other people or organizations, such as a property owner, household member, property manager, referral partner, or other person who asks us to contact you. If you provide information about another person, you represent that you are authorized to do so.

3. How We Use Information

We may use personal information to:

  • respond to quote requests and questions;
  • create and manage lead and customer records;
  • prepare estimates and schedule, provide, bill for, and support services;
  • send requested or service-related communications, including quote acknowledgments, appointment reminders, job updates, and customer-care messages;
  • send marketing communications when permitted and, where required, with consent;
  • process payments and maintain accounting, tax, warranty, and transaction records;
  • operate, maintain, troubleshoot, secure, and improve our website, services, and business systems;
  • understand website use and measure whether advertising results in inquiries, qualified leads, bookings, and revenue;
  • detect and prevent fraud, misuse, security incidents, and unlawful activity;
  • establish, exercise, or defend legal claims and comply with applicable law; and
  • carry out another purpose disclosed when the information is collected, or with consent where required.

4. Cookies, Analytics, and Advertising Technologies

We and our providers use cookies, tags, pixels, and similar technologies for website operation, security, analytics, advertising, and attribution. These technologies may collect website, device, and usage information and may associate an advertising interaction with a later form submission or customer outcome.

Most browsers allow you to delete or block cookies. Blocking some technologies may affect website functions. Where applicable law requires consent or recognition of a legally valid opt-out preference signal, we will use or honor the required control. Browser “Do Not Track” signals are not uniform and may not be recognized by all services.

5. Google Advertising Measurement

We use Google advertising and measurement services to understand whether our advertising results in inquiries and booked services. For enhanced-conversion or offline-conversion measurement, we may provide Google with advertising click identifiers, conversion information such as lead status, conversion time, or booked value, and a hashed version of an email address or telephone number. Hashing converts the contact information into a coded value before it is transmitted, but it should not be treated as anonymous information.

Google uses this information to match customer interactions with ads and report campaign performance under its applicable terms. We do not provide SMS opt-in or consent status to Google for advertising measurement, and we do not sell the customer information submitted for this purpose. 6. Text Messages

If you separately opt in, we may send automated text messages to the mobile number you provide. Service messages may include quote-request acknowledgments, estimate and scheduling communications, appointment reminders, job updates, and customer-care replies. We send marketing or promotional text messages only if you separately opt in to that message category. Consent to marketing texts is not a condition of purchasing goods or services.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. We also honor other reasonable requests to stop messages. We may send one non-promotional message confirming an opt-out request.

We do not sell or share your mobile number or text-message opt-in or consent data with third parties or affiliates for their independent marketing or promotional purposes. We may disclose that information to service providers acting on our behalf solely to operate, support, and deliver the messaging program, including Housecall Pro, Zapier, and telecommunications providers, and as required by law. Other uses of contact information, including advertising measurement, are described separately in this Policy; we do not disclose SMS opt-in or consent status for those purposes. 7. Email Communications

We may send email about quote requests, appointments, services, billing, and other customer matters. We may also send promotional email where permitted. You may opt out of promotional email at any time by using the unsubscribe link in the message or contacting us. We may continue to send non-promotional messages about an active request, scheduled service, transaction, safety matter, or other ongoing customer relationship.

8. How We Disclose Information

We may disclose personal information to:

  • Service providers and processors that support website hosting and forms, customer relationship management, scheduling, workflow automation, communications, payment processing, analytics, advertising measurement, data storage, security, accounting, and professional services. Known providers supporting these activities include Housecall Pro, Zapier, Google, and our website and communications providers.
  • Advertising and measurement providers as described in this Policy, to attribute inquiries and customer outcomes to advertising and measure campaign performance.
  • Government authorities, courts, and other parties when reasonably necessary to comply with law or legal process, protect rights, property, or safety, investigate misuse, or prevent fraud or security incidents.
  • Parties to a business transaction in connection with an actual or proposed merger, financing, acquisition, reorganization, sale of assets, or similar transaction, subject to appropriate confidentiality and legal requirements.
  • Other parties at your direction or with your consent.

We do not sell personal information for money. Some privacy laws define “sale,” “sharing,” or “targeted advertising” more broadly and may cover certain advertising or analytics disclosures even when no money changes hands. Where those laws apply, we provide and honor the choices they require.

9. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to manage quotes and services, maintain business and tax records, document consent and customer communications, resolve disputes, enforce agreements, prevent fraud, and comply with legal obligations. Retention periods vary based on the type of information, the system in which it is stored, and the reason it is held.

We may retain the minimum information needed to honor an opt-out or do-not-contact request. Where applicable, we retain company-specific telemarketing do-not-call records for at least five years. When information is no longer needed, we delete or deidentify it using reasonable measures, subject to ordinary backup, archival, and legal-retention processes.

10. Security and Data Incidents

We use reasonable administrative, technical, and physical safeguards designed to protect personal information, taking into account the nature of the information and our operations. No method of transmission or storage can be guaranteed completely secure. If we learn of an incident affecting personal information, we will investigate and provide notices as required by applicable law.

11. Your Choices and Privacy Rights

You may:

  • unsubscribe from promotional email using the link in the message;
  • opt out of automated text messages as described above and in our SMS Terms;
  • manage many cookies through your browser settings; and
  • contact us to update your contact or communication preferences.

Depending on where you live and whether the applicable law covers our processing, you may also have rights to confirm whether we process your personal information; access, correct, delete, or obtain a copy of it; obtain information about specific third parties that received it; opt out of a sale, targeted advertising, or certain profiling; withdraw consent; or appeal a decision about your request.

Describe your request and the email address or telephone number you used with us. We may need to verify your identity and authority before completing a request. We will respond as required by applicable law and will not unlawfully discriminate against you for exercising a privacy right. If we deny an appealable request, you may appeal by replying to our decision with the word “Appeal.”

12. Children’s Privacy

Our website and services are intended for property owners and other adults and are not directed to children under 13. We do not knowingly collect personal information online from children under 13. If you believe a child under 13 has provided personal information to us, contact us and we will review and delete it as required.

13. Third-Party Links

Our website may link to websites or services that we do not control. Their privacy practices are governed by their own notices, and we encourage you to review them.

14. United States Operations

Our website and services are intended primarily for customers in Washington and Oregon. We operate in the United States, and information may be processed and stored in the United States. If you access the website from another jurisdiction, its privacy laws may differ from those where the information is processed.

15. Changes to This Policy

We may update this Policy to reflect changes in our practices, services, vendors, or legal requirements. We will post the updated Policy on this page and revise the “Last updated” date. If required, we will provide additional notice or obtain consent before a material change applies.
